Pre- and Post-Meeting Admin Tasks

Below, you can find all of the administrative steps required of Guides to complete before and after each Core meeting. These items can be found on the Guide Portal of chief.com on your Core Dashboard. 

Pre-Meeting Agenda

Guides are required to submit a pre-meeting agenda at least 48 hours prior to any upcoming Core meeting. You can find suggested agenda comms in the Core Meeting Materials tab. Please note that you cannot add or edit an agenda after the meeting date has passed. 

The agenda is designed to excite members and give them a preview of the upcoming meeting. Members can view the meeting agenda by visiting their Core page on Chief.com.

Attendance

Guides are responsible for logging group attendance within 48 hours of meeting completion.* 

Members can self-report their absence before a meeting by visiting chief.com/core and clicking the “I can’t attend” button or on the Help and Support page using the ‘Contact Us’ button. Concierge can also support members by doing this on their behalf. 

If a member lets you know they will be absent from a meeting, you can enter their attendance before the meeting or encourage them to self-report.

* Reminder: Invoices will not be approved until attendance is logged for all Core meetings.

Post-Meeting Summary (Member-facing)

After each meeting, we ask that Guides complete the meeting summary 48 hours in order to provide members with a recap of what was covered in the Core meeting.

Meeting summaries allow Guides to note key takeaways, post resources from the meeting, share goals for the following meeting, and update members who could not attend. Summaries are visible to all members of the group and to the Chief team. Members can revisit past summaries, enabling them to reflect on their Core journey.

Post-Meeting Guide Recap (Chief-facing)

After each meeting, Guides must complete the post-meeting recap within 48 hours in order to provide Chief with the most timely, relevant information about each Core meeting.

The recap focuses on questions that allow the Chief team to best understand what happens in a Core meeting and how we can improve a Core Group’s experience, including: 

  • Insight into the group’s overall engagement

  • Meeting materials usage, feedback, and resource requests

  • Openness to new members

  • Details and requests for specific member support regarding a member’s Chief experience and/or renewal support

For some questions, you will be provided an open text box where you can provide additional insight and detail to the meeting experience.
