Membership renewal process

This resource is designed to help Guides understand the membership renewal process and their role in supporting members through it as it relates to the Core experience.

We expect Guides to have a sense of member renewal intention and to allow space for members to share updates through organic conversation. We don't expect Guides to sell or be able to answer all member questions about renewals. Guides can always direct members to email concierge@chief.com for renewal questions and support.

Terms to know

Renewal: The annual cadence at which a Chief membership is renewed. A member's renewal date can be viewed on their Chief.com “My Membership” page. Guides can also view each Core group member’s renewal day on the Guide portal.

Auto Renew: Memberships renew automatically each year unless the member requests a cancellation. More information on auto renew can be found here and here.

Cancellation Form: This form is found on Chief.com, where members can indicate their desire to cancel their membership. Members can also email concierge@chief.com to request a cancellation.

Sponsorship: The member’s employer sponsors their Chief membership either fully or partially. This is coordinated between the member and their company.

Enterprise Membership: The member’s employer has paid for a number of Chief memberships. Enterprise members are not self-paying. This is coordinated between Chief and their company.

Grant: Chief pays for a portion of one’s membership. Members must apply and qualify for grants with the Concierge team. More information on grants can be found here.

Executive Level (C-Suite or VP): Determined by multiple factors, including, but not limited to: job title, number of direct reports, levels from the CEO, and company size. Only members of the same executive level are in Core groups together.

Chief+ Membership: Membership level at which members have regular access to Chief flagship clubhouses.

Renewal Communications

As members approach the end of their membership year, they are sent a series of communications from the Chief team in order to inform them of their upcoming renewal. As you read above, membership automatically renews each year unless the member requests a cancellation. 

Members are emailed 90 days, 60 days, 30 days, 14 days, and 7 days before their membership renewal date. All memberships renew on the first of the month. Once a member renews, they receive a payment confirmation email and an email welcoming them to the next year of their membership.

How to View Your Core Group Members’ Renewal Information

Guides can view the renewal information for the members in their Core groups. Please note that while we aim to maintain the most current renewal information, some members choose not to share their renewal sentiment ahead of their renewal date. Additionally, while members may choose to share their renewal intent with Guides, we are unable to update each member’s official renewal status if the member has not explicitly shared it with Chief’s Concierge team.

To view your Core group members’ renewal dates, log into the Guide Portal on Chief.com and view the Guide Dashboard



On the dashboard, you will see various membership statuses listed:

  • Active Member - Member has not shared their renewal intentions with the Concierge team, and we do not know if this member will renew or not.

  • Commit Likely - Member has connected with the Concierge team and shared that they intend to renew.

  • Commit in Question- Member has connected with the Concierge team and is unsure if they will renew at this time.

  • Ending Membership - Member has submitted a cancellation form. If a cancellation form is submitted, the Concierge team will reach out to the member.

  • Gated - Members are Gated due to unpaid invoice, pending payments, etc. When members are Gated, they have limited access to Chief.com. They have one month to update payment/pay their annual membership. Please note: Guides are not able to see this status on the Guide portal. This is a term used internally by the Concierge team and other Chief teams.
